EXECUTIVE ASSISTANT
Essential Functions/Responsibilities:
1. Promptly receive and screen incoming telephone calls to the Manager, providing friendly and professional greeting, taking messages as appropriate, and eliciting necessary information to allow timely and accurate responses. Respond where appropriate.
2. Remain aware and update Managers schedules.
3. Promptly screen and distribute incoming email, responding where appropriate.
4. Provide accurate word-processing support by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts and proposals.
5. Assist with organize meetings and/or special events including annual Christmas parties, Meetings, etc. Arrange for catering, locations, distribution of information with respect to the event and any gifts or handouts for the event.
6. Develop and maintain well organized filing system that permits easy reference and rapid retrieval of information.
7. Special organizational and research projects as directed.
8. Arrange travel, hotel, and car reservations and prepare itinerary, both corporate and personal for the Manager.
9. Responsible for continuously expanding and updating professional knowledge and honing training skills in order to enhance individual and team innovation and productivity.
10. Perform addition functions as directed or assumed on personal initiative.
Skills, Knowledge, Qualifications and Experience:
1. Educational and experience preference is high school graduate with at least 5 years of secretarial and/or clerical work experience and good grasp of English usage, spelling, grammar and punctuation.
2. Knowledgeable and proficient use of personal computer.
3. Practical experience with Microsoft Word, Excel and Lotus Notes.
4. Candidate must be very organized and able to prioritize tasks.
5. Ability to perform secretarial and clerical duties with deliberate speed and accuracy without immediate and constant supervision.
6. Candidate must be friendly, personable and able to build harmonious working relationships with clients, co-workers and the general public.
7. Ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must.
